Vocational education rarely consists of one single major development step.
More often, it becomes visible in small moments: a person starts a work step more independently. A tool is used more safely. A routine becomes calmer after several repetitions. Someone notices for themselves what went well today or where support was still needed.
These situations matter for participation in working life. They show not only that a task was completed, but how independence, orientation, communication, and collaboration can grow in everyday work.
The challenge is that these development steps are easy to miss. If they are documented only later, the context often becomes thin.
Small Steps, Real Meaning
Workshops for people with disabilities and other providers offer vocational education and employment for people who cannot, not yet, or not yet again work on the general labour market. That is why small observations can matter professionally. Did someone recognize the next step today? Was a routine completed with fewer reminders? Could a person show which task suits them?
Why Short Notes Often Show Too Little
A lot happens at once during everyday work. Support professionals accompany tasks, explain processes, pay attention to safety, support communication, and keep goals in mind.
When an important situation is documented only later, it can easily become one short sentence: “Participated.”, “Completed the task.”, “Needed support.”
These notes are not wrong. But they show very little. Which task was involved? What changed compared with before? What support was needed?
In vocational education, that is a real loss. One work step may seem small on its own. Across several days or weeks, however, it can show whether a person is becoming more confident, gaining orientation, or taking over tasks with less direct guidance.
What Digital Journal Entries Add
A digital journal can capture everyday situations closer to the work moment: with a photo, short description, symbol, rating, mood, or selected activity.
For people who do not communicate mainly through written language, this can be more accessible than a long text. The person can show: This is what I did. This went well. This was difficult.
That makes the entry more than a note about a person. It can make part of the person’s own perspective from everyday work visible.
One boundary remains important: a journal entry is not finished professional documentation. It is a foundation. Support professionals review, add context, and decide what it means for goal work or documentation.
From Entry to Professional Context
For a journal entry to become useful in vocational education, it needs context.
An observation such as “Mowing the lawn went well” becomes stronger when it shows:
- Which task was practised?
- Which goal or activity was connected with it?
- How much support was needed?
- What changed compared with before?
In the Independo Portal, support professionals can review entries in the organisational context, add information, connect them with goals or activities, and decide what should be used further.
This does not create automatic documentation. It creates a better starting point for professional interpretation.

Why This Makes Participation More Visible
Participation in working life is not only about being present at a workplace. It becomes visible when people try activities, develop skills, receive suitable support, and understand their own development.
The legal basis for the vocational education area in Germany describes that services may be needed to develop, improve, or restore a person’s work capacity as far as possible. (Section 57 of SGB IX)
In practice, this means that the focus is not only on completed tasks. It is on development. Digital journal entries can capture moments that otherwise easily disappear: a first independent step, a successful repetition, or a sign of what was still difficult.
Learning from Practice
The practice report from Stellwerk Papenburg shows how this can look. Participants use the Independo Journal on tablets to document daily routines and work activities more independently. Support professionals review these entries in the Portal and connect them with goals and activities.
We see the same pattern in our internal usage data: when Journal and Portal are firmly embedded in the everyday work of active groups, journal entries are created on every regular working day and then processed into documentation records in the Portal. Planned closure periods, such as Christmas or Easter breaks, are excluded.
That does not mean every professional question is answered automatically. But it does show that everyday documentation can become a reliable routine.
For organisations that want to start with Journal and Portal, the beginning does not need to be large. A clearly limited area often makes sense: one group, one work area, or one goal process. Goals, activities, photos, or symbols should be prepared so participants can understand them and support professionals can interpret them in the Portal.
